Fee information for tenants

Tenant Fees and Permitted Payments

In accordance with the Tenant Fees Act 2019, as amended by the Renters’ Rights Act 2025, we may only charge the following permitted payments in connection with an assured periodic tenancy in England. No other tenant fees are payable.

Rent is payable as stated in the tenancy agreement. From 1 May 2026, the rent charged must not exceed the advertised rent. We cannot take rent before the tenancy agreement has been signed. After signing, and before the tenancy start date, we may require up to 1 month’s rent in advance.

A refundable holding deposit of up to 1 week’s rent per tenancy. This is the maximum permitted holding deposit for the property as a whole, not per tenant.

A refundable tenancy deposit of up to 5 weeks’ rent where the annual rent is below £50,000, or up to 6 weeks’ rent where the annual rent is £50,000 to £100,000.

 

Plaza Estates will notify the utility companies of the transfer of accounts with meter readings if applicable. We will also notify the local authority with regard to council tax. Any burglar alarm charges will be the responsibility of the tenant.

All tenants will receive, at no extra charge, our Home Setup Service which comprises arranging change of occupation notifications for council tax and utilities, as well as setting up optional services such as broadband, TV, phone, insurance, and/or where requested other home or move related needs such as contents insurances, cleaning, storage or removals (known as “Home Setup Services”).

The Home Setup Service is provided on the Agent’s behalf by Ethical Introductions Limited (t/a Just Move In). Please note that in order to arrange and confirm the scope of the Home Setup Service to be provided, you will be contacted by telephone, text or email by Just Move In.

Please advise us if you have a pet or if there is anything that is of particular importance to you. Should you have a query regarding any aspect of renting a property, please speak to one of our staff.

The Tenant is responsible for paying the licence fee for any television set in the property during the tenancy.

It is usual for an independent inventory clerk to be appointed to record the condition of the property at the commencement and termination of the tenancy.

Interest will be charged on rent that is more than 14 days overdue, at a maximum rate of 3% above the Bank of England base rate, calculated on the overdue amount for the period it remains unpaid.

The tenant will be liable for the actual reasonable cost incurred, evidenced in writing, for the replacement of any lost key or security device giving access to the property. This is not a fixed fee.

Plaza Estates Agency Limited is a member of the Propertymark Client Money Protection Scheme, helping to safeguard client funds handled by the business.

Where the tenant requests a variation, assignment, novation, or the addition or removal of a tenant, the fee will be £50 inclusive of VAT. If our actual reasonable cost is higher than £50, we may charge the higher amount, provided we supply evidence of that cost.

If the tenant does not give the correct amount of notice to end an assured periodic tenancy, we may charge up to the amount of rent that would have been payable had the correct notice been given. This is a variable amount, not a fixed fee.

The tenant is responsible for utilities, communication services, council tax and TV licence payments where the tenancy agreement says these are not included in the rent.  Council tax must be paid to the relevant local authority unless included in the rent. TV licence payments must be paid to the licensing authority unless included in the rent.

We do not charge administration fees, referencing fees, inventory fees, check-in fees, check-out fees, renewal fees, guarantor fees, cleaning fees, or any other fee unless it is a payment specifically permitted by statute.

Landlord fees & charges

This Schedule shows all fees and charges of Plaza Estates prior to the start of the Tenancy and during the Tenancy that may be charged to the Landlord.

Longer tenancy fees

Letting, rent collection and renewal service for tenancies of 3 months or more (inclusive of applying for consents, key holding, notification of utility companies, rent statements to Landlord and/or accountant, negotiating dilapidations at the end of tenancy) is charged at 11% + VAT (13.2%).

Shorter tenancy fees

Letting and renewal service for tenancies 3 months or less is charged at 15% + VAT (18%).

Management, letting & renewal fees

Management, letting and renewal service is charged at 16% + VAT (19.2%).

Management only fees

The management only service is charged at 6% + VAT (7.2%).

Tenancy Deposit Protection Scheme (TDS) information

Plaza Estates are members of the Tenancy Deposit Scheme (TDS) and offer this service without extra charge to them, unless there is a dispute when an administration fee is payable. The scheme has exacting requirements of procedures and set clauses in the tenancy agreements but works well.

Tenancy details are re-registered on renewals and certificates are reissued. The arbitration service will only accept cases where it can be proved that every effort has been made by the parties to resolve the dispute first themselves. View TDS website.

Shorter tenancy fees

Membership of a Government Approved Client Money Protection (CMP) scheme becomes a legal requirement for all agents dealing with residential lettings across England from Monday 1 April. Agents must display a certificate confirming membership of an Approved CMP scheme both in branch and on the website.
